47 per hour DEFINITION Provides administrative support to the Town Administrator, the Assistant Town Administrator and through the Town Administrator the Board of Selectmen; other related work, as required.
ESSENTIAL DUTIES AND RESPONSIBILITIES The essential functions or duties listed below are illustrations of the type of work performed.

Assists with development and implementation of office procedures; composes and types correspondence.
Performs additional duties in the absence of other office staff.
Processes workers' compensation claims; maintains records and responds to inquiries.
Maintains payroll; submits reports to the Town Administrator and the Town Accountant.
Creates and maintains filing systems; performs research and retrieves documents; files personnel records.
Assists with budget preparation for Town Hall, Board of Selectmen and Brooks Academy; processes departmental invoices, and money turnovers.
Prepares procurement documents; prepares legal advertisements; maintains procurement files; responsible for processing bid bonds, award letters and contracts.
Responsible for coordinating the preparation of Town Meeting warrants; assists with the preparation of annual town reports; ensures compliance with legal advertising requirements; coordinates with the printer.
Preparation and posting of Board agendas; conducts follow-up activities; prepares documents for signature and distributes; provides assistance and responds to requests from the Board.
Responds to inquiries and requests from the public.
Completes special projects, as assigned.
(Town Meeting Warrant, Annual Town Report) Performs similar or related work as required, or as situation dictates.
SUPERVISION Works under the general direction of the Town Administrator in accordance with town bylaws, rules, regulations, policies and procedures; duties require the ability to independently plan and perform operations, knowledge of municipal operations, judgment and initiative; policy issues are referred to the Town Administrator or the Board of Selectmen.
SUPERVISORY RESPONSIBILITIES None WORK ENVIRONMENT Work is performed in office conditions, with considerable public interaction; the workload is subject to various fluctuations, including license renewals, Town Meetings and budget cycles.
The employee operates standard office equipment.
The employee has regular contact, requiring patience, tact and discretion with the public, town employees, vendors, and outside organizations.
The employee has access to a wide variety of confidential information, including bid documents, legal proceedings, personnel files and medical information.
Errors could result in delay or loss of services, monetary loss to the town, or legal repercussions.
RECOMMENDED MINIMUM QUALIFICATIONS EDUCATION AND EXPERIENCE High School diploma; Associate's Degree preferred; five years of administrative experience; bookkeeping and record keeping experience; municipal experience preferred; or an equivalent combination of education and experience.
KNOWLEDGE, ABILITY AND SKILL Knowledge of town government; knowledge of office practices and procedures; knowledge of municipal procurement and licensing procedures, open meeting law and public records laws.
Ability to work independently and prioritize tasks; ability to maintain confidential information; ability to interact appropriately with town employees, town officials and the general public; ability to work with accuracy and attention to detail.
Bookkeeping and record keeping skills; organizational and planning skills; office skills; interpersonal skills; written and oral communication skills.
PHYSICAL REQUIREMENTS Minimal physical effort is required to perform duties.
The employee is required to stand, walk, sit, speak and hear, and use hands to operate equipment.
Vision requirements include the ability to read documents and analyze documents and use a computer.
